Interview

It’s not uncommon for researchers to be preparing for their viva at the same time that they’re applying for jobs and going for interviews. And vivas and job interviews are often compared to one another. I think there’s a superficial comparison to be made (people tend to dress up, the candidate is asked a lot of questions by a panel) but the focus is quite different. In a job interview, someone is being asked questions to discover if they’re a good fit for an organisation; in the viva they’re being asked to demonstrate what they’re claiming to have done during their PhD.

However, I think there could be an overlap between the kinds of areas of preparation that could help both vivas and interviews. If your viva is coming up and you’re applying for jobs then think about your skills to begin with: what have you developed in the last few years? What’s your best evidence? What can you do now that you couldn’t do at the start of your PhD? Think about times that you’ve shown initiative. Think about times when you’ve solved problems. Reflect on what you can do that others find hard, because that’s valuable.

Vivas and job interviews might not be the same, but they get to the core of what you do well. Reflect on how you can share that.

Random Questions

At the start of my workshops I ask people for their questions about the viva. Anything and everything, procedure, practical stuff, advice, fears, really anything. My philosophy is “once people have an answer, they can move on, they don’t have to worry about that question any more. Even if they need to do something they know what they need to do.” I collect the questions on Post It notes. I’ve been doing this for seven years and have been recording them all for over three years.

Last month I got an odd question:

“Is anything in a session like this really applicable? Does it [the viva] simply depend on personalities? (randomness)”

If I’m honest, I felt a little… Irked. I was kind of thinking, “Huh. Someone decided to come… But then questioned the premise of what we’re doing? And right before we’d got started they decided to ask this?” It felt a little cutting, but that might not have been their intention. Maybe it was just their personality…

Back to the question. I don’t think the viva simply depends on personalities. An examiner could disagree with you, and that might not be an easy question or comment to take. An examiner could be really tired, or really grumpy, and so could you. The tone of the examination could be influenced by personalities, but none of that is predictable or within your control.

However, you can control what you do to prepare for the viva. What you read or re-read, what you learn about your examiners, the notes you make, the steps you take to remind yourself of everything you’ve done and can do. That’s all up to the researcher. If a session on viva prep shares some ideas about those sorts of things it will be pretty applicable, I think.

Last month I felt irked. Today I feel good. Questions help, even questions that seem left field or perhaps snarky. Maybe I read it wrong. Maybe they asked it wrong. When you get a question in the viva, try not to make assumptions about where it’s coming from. You can always ask why or for more details.

There could be a touch of “randomness” in the viva, but you can bring a lot of order in with you.

A Disclaimer Of Sorts

I can’t say people never get tough questions in the viva.

I can’t say candidates never face examiners who are overly harsh.

I can’t say YOU won’t have a bad viva.

Because people do. Even though most people have a perfectly fine experience in the viva – tiring, draining, tricky but overall fine if not enjoyable – some people don’t. So what can you do?

Keep doing good work now. You can’t know in advance what your viva will be like exactly. Good or bad, right now you can put yourself on the path to be the best you in the viva. Someone who knows their stuff, someone who knows how to be a good researcher in their field, someone primed for confidence and able to answer questions about their research.

Bad viva? Not in your control. Good candidate? That’s all up to you.

Short

In a workshop a few weeks ago someone asked, “How can you keep the viva short?”

I took a long pause before answering. My answer: “Not much.”

You can answer questions well – providing the information or analysis requested, explaining things and so on – but that doesn’t mean that you will shorten the viva. I’ve heard stories from people who had short afternoon vivas and knew their external had a pre-booked train to catch. It’s all anecdotal though.

I missed a more important question in that session. I could have asked the person, “Why do you want to keep the viva short?” I wonder now what was at the root of their question. Vivas take as long as they take. They vary in length for a host of reasons.

There’s no need to rush: you can take the time you need to answer questions well. Many people tell me they feel their vivas took no time at all: my four hour viva went by in an eyeblink. It’s all anecdotal though!

My advice? Focus on being prepared, don’t worry about how long it will take. You can’t influence the length of the viva, but you can steer how well you will perform.

A Viva Alphabet

There’s lots and lots to unpack about the viva. Questions, answers, preparation, people, the PhD process, research, confidence and so much more! We can’t cover everything in one post, but what can we do…? How about the following: aspects of the viva and questions that could be helpful.

  • A is for Advice: take advice from anyone who can help. Who could give you great advice about the viva?
  • B is for Better: this is you at the end of the PhD. In what ways have you improved over the last few years?
  • C is for Confidence: it’s OK to feel nervous, but it’s right to feel good about your work. What can you do to build up your confidence?
  • D is for Defence: an alternate name for the viva. Are you ready to defend your choices?
  • E is for Examiners: they’ll be ready for the viva. What are you doing to get ready?
  • F is for Failure: it’s a remote possibility but a persistent thought. What can you do to push it aside?
  • G is for Good: there’s a lot of good stuff in your thesis (or you wouldn’t be where you are). What three things jump out when you think about it now?
  • H is for Help: ask for what you need. So… What do you need?
  • I is for I-Don’t-Know: it’s fine to say this in the viva. What do you feel uncertain about?
  • J is for Journey: it’s taken some time to get to where you are. How far have you come?
  • K is for Kit: every candidate needs to take their thesis, pen and paper and water. What else would be useful to you?
  • L is for Learning: you cannot get to the end of the PhD unchanged. What have you learned along the way?
  • M is for Minor: expect that you’ll have minor corrections because most people do. How will you fit them around everything else in your life that you have to do?
  • N is for Need: there’s lots of advice about what you “should” do to prepare, or “should” do or say in the viva. But what do you need to do to feel as confident as possible?
  • O is for Obstacles: there’s no chance that you finished without encountering problems. What obstacles have you overcome during your PhD?
  • P is for Preparation: success and confidence in the viva is not down to hope. What are you going to do to be prepared?
  • Q is for Questions: there are 1001+ things you could be asked in the viva. What questions have you been asked about your thesis?
  • R is for Research: this is how you got to where you are. So what have you done?
  • S is for Summaries: making summaries of your thesis is a good exercise and produces a valuable resource. What formats work for you?
  • T is for Thesis: you wrote a book! Congratulations – now what can you usefully add in annotations in preparation for the viva?
  • U is for Understanding: this is what you need from friends and family, as they might not know what the viva is about. How can you help them give this to you?
  • V is for Valuable: your thesis has to contain something of value. What do you think is valuable in your research?
  • W is for Why: the fundamental question. Why? (…did you do the research? …does it matter? …is it right?)
  • X marks the spot: some things in your thesis really are more valuable than others. When annotating how are you going to highlight them?
  • Y is for Yes: a celebratory yes!!! (what else did you think you might be saying at the end of the viva?)
  • Z is for Zzzzzzz: you could easily feel exhausted by the end of the viva. Or are you going out to celebrate? 🙂

Not the whole of the viva experience or viva preparation by any stretch, but we’ve covered a lot. What do you think? Any suggestions or substitutions?

A Different Perspective

It would be great to know what your examiners think about your thesis. So awesome to know what questions they’re going to ask. Probably a relief to know what the viva is going to be exactly like.

But.

You can’t ask your examiners for help. You can’t know what questions they will ask. You can’t know how they will go about running the viva.

But.

You have a supervisor. You may have more than one. All of them have PhDs. They probably act as examiners too. So ask them questions.

Ask them what they do when they read a thesis. Ask them if there are any questions that they always have in mind. Ask them what they would want to know about your research.

You can’t know your examiners’ perspective in advance. But you can get your supervisors’ thoughts: not the same, but they’ll come from experience and will be valuable.

Nevermind

I didn’t listen to Nevermind by Nirvana when it came out. I was in my teens in the 90s, but for some reason the album never connected with me. Of course, I heard Smells Like Teen Spirit but it just sounded loud and angry. I didn’t get it.

In my thesis I wrote a really detailed explanation of how I produced a particular algorithm. I walked the reader through it step by step. And it didn’t connect with my examiners. They thought it read like a story. They didn’t get it.

In both cases though, there was an opportunity to correct. In my viva I was able to explain the process, and my examiners got it. They asked me to re-write my explanation, but they understood what I was trying to get across: my thesis was better as a result.

And last month I listened to Nevermind for the first time: life is better as a result.

Expect Unique

If you ask around about viva length, two to three hours is fairly common. If you google you’ll find lots of lists of standard questions. On the day you will probably find out the result within thirty minutes of the end. (and you’ll probably get minor corrections)

There are broad expectations for the format and tone of the viva. But you can also expect that yours will be unlike anyone elses. My viva was four hours long and I was stood for the entire viva in front of a blackboard. I didn’t expect that and I don’t expect it for your viva! I started stood up giving a short presentation, and things just went from there.

Ask your friends who have had vivas recently what they were like. See if there are common experiences but know that yours will be a custom experience to examine you and your work.

What If I Fail?

Why might I fail? What happens if I fail? What is the process for failing the viva like?

I am asked questions like this all the time. Some people do fail the viva. The vast majority don’t.

What makes you think you would?

If you’re thinking about failure, seriously thinking about failure… Why? What has tripped that thought for you? There’s a real difference between wanting to pass and thinking you might fail. If you’re concerned about your examiners, read some of their papers, ask around about them. If you’re worried about remembering “everything” then read your thesis carefully and make some notes. If you worry about answering questions under pressure then have a mock viva, or get friends to practise with you.

If you’re really troubled by the thought of failure, do something about it.

Breaks

A very practical post today that springs from a frequent question at workshops: “Can I take a break in the viva?

Yes. Yes. Yes. Yes. Yes. Yes.

Yes.

Bathroom break, leg stretch, medical need – you can ask for a break in the viva. As time progresses, your examiners should be thinking about whether or not it is appropriate to offer a break. Most vivas fall in the two- to three-hour range. That’s enough time that a short break is in order.

If you need one, ask. If you’re offered one, say yes, move about and get some blood flowing.
