But what if my examiner says something I’ve done is rubbish?

Imagine you’re in that position. What exactly did they say? It’s unlikely that they just used the word rubbish, but that’s what your brain has just made of their statement or question or opinion. You’ve interpreted that as “rubbish”.

Don’t panic. Take a breath. Ask them why.

Sit back. Listen. Put your feelings to one side and make notes.

When you know exactly what your examiner doesn’t like you can respond. When you have all of the details you will know what you need to discuss with them.

They might have misunderstood something: that doesn’t mean that what you did is rubbish, it just means that you didn’t communicate it as well as you hoped.

They might think something is missing: that doesn’t mean that what you did is rubbish, it just means that it’s not quite as complete as you hoped.

It’s unlikely your examiners will call something in your work rubbish. It’s certain that you have not produced a perfect thesis from perfect research – which means they might have questions or comments about the imperfections. This is natural.

If they say something is rubbish or that’s what you hear, you still get to engage with them – and you should. Ask why. Listen. Think. Respond.

And keep doing it.

Your examiners are not your biggest critics; it’s likely that you have taken on that role.

Perfect Examiners

Like the perfect thesis and the perfect viva, perfect examiners don’t exist.

You can make a list of things that might be ideal (an expert, an experienced academic) or preferable (someone who is nice, someone who could be a good reference), but they’ll never be perfect.

Steer their selection in conversation with your supervisor. Find out what you need to know about their work. Get ready to talk with some experienced academics about your PhD work.

They’ll be good, maybe great, but don’t put them on too high a pedestal.

Hints

It happens occasionally that examiners tell a candidate at the start of the viva that they have passed. Universities don’t want examiners to do this – as it sort of begs the question, why are we going ahead with this exam? – but sometimes examiners do. They might think it puts the candidate at ease, maybe this will lead to a more relaxed discussion, who knows. Don’t expect it.

Nevertheless, can you pick up subtle clues during the viva about how things are going?

Maybe the phrasing of a question can give your confidence a boost.

Perhaps the slight suggestion of a smile from your internal will tell you, “They’re on my side.”

How about that short pause? Don’t worry about it. I’m sure it’s fine…

Your external’s making notes while you speak? Well, they have to write a report later. I’m sure it’s fine too…

You’re over two and a half hours in and still a way to go? Well, vivas take as long as they take, it’s fine, there’s no need to- !!

Breathe.

Nothing means anything. You can see, hear or feel anything and spin it any way your mind will let you. It doesn’t make it true or false, good or bad.

Be present in the viva. Think about your answers. Engage with your examiners. Be ready to discuss your work.

The best hint about your viva’s outcome is that you’re there in the first place. It’s not a guaranteed pass just because you showed up, but think about how you got there to begin with.

Cosmic Viva Prep

Think of your thesis as a star. It shines, it’s powerful. It’s there because you’ve set it out in the cosmos of your research field.

Somewhere in that vast space are the works of your examiners. They’ve done more; their contributions might make constellations. Patterns of lights in your discipline.

Don’t think negatively of yourself by comparison. Instead, just look at the constellations. What do they look like? What does a constellation tell you about what an examiner thinks?

And what might your thesis-star look like from their constellation?

Examiners Are Not The Enemy Either

They’re not out to get you, with malicious ideas and opinions. You’re not locked in their sights, and they’re not on a mission to make the viva uncomfortable, unenjoyable and un-passable.

They have to do their job. They have to examine your thesis and you. They have to be experienced and knowledgeable, they have to be prepared for the viva. That can sound intimidating, but all of these are good things.

Remember that you’re the expert in your thesis. Your examiners might have more general experience than you, but no-one else in the world has as much experience with your work as you do.

Your examiners are not faceless and unknown. See what you can learn about them and their work. Explore what you can find that will help you feel confident meeting them to discuss your research.

Impressive

I love the questions I get in workshops. It’s nice to help people with answers. Sometimes questions surprise me with how they’re phrased or the details involved. Last week I had to pause to think about how to answer a simply stated query:

What impresses examiners?

You and your thesis. Reading a significant original contribution to knowledge; getting to discuss it with the researcher who did the work.

You are impressive: the work, the talent, the commitment.

Two Questions About Your Examiners

There may be other academics who could do just as good a job as your examiners, but they won’t come with the same background, experience and knowledge as yours. When they ask questions about your work and how it relates to the wider field, they’ll do so through the prism of their own research. You can’t anticipate every question like this they might ask, but you can ask yourself two questions to help you prepare better.

  • First: how much do you know about them and their work? Think about which papers you’ve read of theirs, and areas they’re interested in (if you don’t know much about either then check their staff pages).
  • Second: how much do you think you need to know in order to boost your confidence? Think about how many papers you have time to read, what else you have to do and so on.

Answering these two questions can help shape how you look into your examiners’ work. You don’t need to know everything – you can’t know everything – but you can do enough once you set some parameters. You can be ready for the interesting questions your examiners have ready for you.

Two Perspectives

I often advise candidates to check out their examiners’ publications before the viva. Maybe they know their work already, maybe not, but either way they can get a sense of where their thinking is at. They can wonder about what assumptions, ideas or biases might inform their examiners’ questions.

If your viva is coming up you could also take it from the other perspective too. Look from your point of view, not your examiners. You don’t have to just think, “what could my examiner ask me?” You can also start from your research and reflect, “what connections can I see between my work and theirs?”

It’s the same area, but a different question to ask, and so different kinds of ideas bubble to the surface.

No Bad Cops

The strangest viva myth I’ve been asked about is whether examiners take a “Good Cop/Bad Cop” approach. It really puzzles me.

I can’t wrap my head around the idea. Which one is supposed to be the bad cop?

Your internal? Someone who has to make sure that the viva is fair according to the rules of your university? Someone that you likely know?

Your external? Someone who has been singled out for certain reasons by your supervisor (often in conversation with you)? Someone who often has particular interest in what you’ve done?

They’re not trying to trick you. They’re not trying to trap you. It’s not a routine. It’s not how they do things.

They’re professionals. Like cops, yes, but with a much different agenda. They’re there to examine, not interrogate.

I don’t know that you would call either examiner a good cop – but neither of them is a bad cop.

Harsh

What could you do if an examiner was harsh?

Nevermind that they’re supposed to be fair, professional and so on. What if they weren’t? It’s easy to say don’t worry, they’re not supposed to be, but what could you do if you felt they weren’t fair?

  • …I don’t believe you!
  • …I don’t agree!
  • …What about my work?
  • …But don’t you think that such-and-such has a more important idea than this?

What could you do?

Listen. Breathe. Take a step back. Think. Ask yourself why. Ask them why. Remember that the viva is not a Q&A. Remember who the expert in the room is. If they’re harsh, push their tone to one side and respond to their ideas or questions.

It’s extremely unlikely that an examiner would be harsh, but it’s possible that they may have an opinion – fair, balanced and appropriate – that still catches you off guard. A question that throws you. Pausing, listening just to the question and not the tone, setting your feelings aside for a second – all of this can still help.
