When You’re Ready

Viva prep involves practical tasks like reading your thesis, making notes and having a mock viva, as well as building up your self-confidence for meeting your examiners.

There’s no particular checklist that every candidate must do. You figure out what steps you need to take and you do the work.

At some point before your viva – maybe the day before or the week before – you reach a point where you feel you’re ready for meeting your examiners. Whenever it is, make a note for yourself. Write down that you’re ready. Take two minutes to write why you feel that way.

Do it because a day later you might doubt yourself. On the morning of your viva you could wonder if you’re really going to be OK.

If you’ve done the work, if you’ve felt ready once and made a note then you can remind that future-you: “Yes, you’re going to be OK. You did it. You can do this.”

When you feel ready, take time to remind yourself to keep going.

Nervous or Anxious?

Some candidates feel nervous because of what they did in their thesis. Is it enough?

Some people feel nervous because of what they haven’t done. Have they missed something?

Some feel nervous because of who there examiners are. Will their experience lead to tougher questions?

Some feel nervous because they don’t know what is going to happen. What if there’s a situation they can’t cope with?

And some candidates will be nervous because the viva is important and important things make people nervous!

We can quibble as to whether some of the above is nervousness or anxiety, but either way, these things won’t disappear by themselves. If you feel nervous or anxious you have to do something.

Read your thesis, review a few papers, ask about your examiners, have a mock viva, talk to friends and colleagues and do anything rather than just sit nervous or anxious. Sitting with a negative feeling like that, whatever we call it, won’t help.

What could you do to help yourself? What will you do? Go do it.

Escape The Room

We’ve become a little obsessed with puzzles and escape rooms in our house. It’s odd because we’ve not actually visited a real-life one yet!

My family has been enjoying mystery and challenge programmes that involve escape rooms, as well as video games and board games that have layers of puzzles. We can’t get enough. A visit to a real world escape room is somewhere in our plans for this year.

 

I was reflecting on this yesterday and it made me think of the viva and some questions I’ve been asked in the past:

  • How can I make my viva shorter?
  • What can I do to answer questions quickly?
  • How can I steer my examiners away from topics?
  • If I write a shorter thesis does that put a limit on the length of my viva?
  • Seriously, what can I do to make my viva only an hour?!

In all of the many themes for escape rooms I wonder if anyone has done a viva-themed one?

There are lots of verbs I would associate with the viva, but escape isn’t one of them. You can’t make your viva shorter; you can make it better. You can take your time to respond well. You don’t need to give quick answers: you need to give good responses.

Your examiners can’t be steered. They have things they need to explore with you and that’s that. Work towards giving good responses. And of course, there’s no data that suggests a shorter thesis leads to a shorter viva!

Engage with your viva rather than try to escape from it. Worries about doing well are valid, but try to invest your energy in being great instead of getting away.

Almost Zero

Viva failure is exceptionally rare.

I’ve asked graduate schools, doctoral colleges and doctoral training programmes: they consistently tell me around one in one thousand vivas result in failure. That’s not zero, but I think we can reasonably deduce a few things:

  • The vast majority of PhD candidates meet the requirements, both in their thesis and themselves, in order to succeed.
  • The regulations and patterns of experience at the viva result in success (whatever shortcomings they might have).
  • However people prepare – whether they read a blog, buy a book or attend a webinar/workshop – they do enough to help themselves succeed.

If candidates reflect on their journey they’ll appreciate they’ve done enough. If people read the regulations and ask about expectations they should find information that helps. If they ask for advice or help with preparation then they should be able to figure out what to do (and do it).

Could things be better? Most likely! It would be great if all candidates enjoyed their viva experience. It would be great if the culture around the vivas was less opaque and mysterious so people knew more of what to expect.

All of that said: do the work, ask for help, take time to get ready and there’s almost zero chance that you’ll fail.

Worry & Questions

Lots of viva worries are centred around responding to questions.

  • Viva Worry 1: I’ll freeze.
  • Viva Worry 2: My examiners will ask me something difficult.
  • Viva Worry 3: I’ll get a question I can’t answer.

A deeper worry is that some combination of these will all happen at the same time.

 

These are real and human worries, particularly for a PhD candidate. Being nervous for an exam is understandable. Being worried is understandable.

You can learn to sit with nerves – they’re a recognition that something is important – but worry is something that has to be dealt with proactively.

You can work past the three viva worries above – and others – by taking action.

If you’re worried you’ll freeze then find opportunities to rehearse. Mock vivas and conversations can help you to get a rhythm for responding to questions and comments.

If you’re worried that your examiners will ask something difficult then ask your supervisor to practise with you by asking difficult questions. Take time to think and respond.

If you’re worried about questions you can’t answer then you have to  explore what the viva is really like. You might get questions you can’t answer but not every question needs an answer. You might be asked for an opinion or a theory or just your first impressions.

 

Worry doesn’t just go away. You have to work your way past it.

Take Five

Five minutes is enough time to do something to help your viva prep.

  • Add bookmarks to the start of every thesis chapter.
  • Highlight important information in a section.
  • Make notes on your thesis contribution.
  • Draft one hundred words to summarise a chapter.
  • Write a list of things you need to do to prepare.
  • Send a few messages to friends asking for their support.

There are many viva prep tasks that take more than five minutes but five minutes can be enough to make a difference.

Good, Not Perfect

Good is the standard you need to meet for your thesis and your viva.

  • You don’t need to have thought every thought.
  • You don’t need to have followed every idea.
  • You don’t need to have an answer for every question.
  • You need to write a good thesis but it could have typos despite your best efforts.
  • You need to be ready to engage with every question but that could still mean saying “I don’t know” sometimes.
  • You need to get ready for your viva but you don’t need to be perfect.

How did you get this far? By being good.

Keep doing that.

Rest Is No Joke

A Bank Holiday is a good reminder to rest.

Maybe today’s not the day. A Bank Holiday in the 2020s isn’t a guarantee that you can take a break! But rest is an essential part of how we get things done. Even if your viva is coming up and you feel a little pressure to do more to get ready, you still need to rest.

You need to read, you need to rehearse and you need to rest.

Don’t fool around. Make it part of your viva prep.

Other Vivas

Every viva is unique. Every viva is similar and different to every other viva. Vivas follow patterns. Vivas are not mysterious but you don’t know what will happen until you get there. Expectations are not guarantees.

Hearing about someone else’s experience at the viva can help you to understand what yours might be like. Learning about what happens generally can help put some parameters on what you can reasonably expect for your own.

But finding out that a friend didn’t enjoy their viva doesn’t mean that you won’t enjoy yours. Discovering that a group of friends all had long vivas might set some expectations with you, but doesn’t provide guarantees.

Finding out about other vivas is useful but only part of the process of getting ready. Read the regulations, ask your friends and colleagues about what happened and then use that information to help you as you prepare.

Your viva will be the same as many others and also different from every other viva. You can still be ready to meet your examiners and succeed on the day.

A Moment’s Panic

Last month I was finishing my setup for a webinar when something unexpected happened.

I was using Zoom, as I have for four years, and when I shared my screen it looked very different: I was in my slides! I was overlaid on my introduction, confined to the bottom left like a TV news presenter.

I panicked.

For five seconds I looked at the options, the images, the words, the clock in the corner ticking to when I had to start talking. For five seconds I panicked and frozen whilst also doing 101 things.

And then I remembered a key idea from my session: pause, think, respond.

  • I closed my eyes and took a breath. For five more seconds I just stopped.
  • I opened my eyes and looked at the screen and thought. What mattered here?
  • I responded and stopped the screen share. I still had time. I was no longer looking at the wrong thing. With no active problem in front of me, could I find the right thing?

Five seconds later I did and everything was fine.

It was a simple update to Zoom’s interface. An extra option and a change to the default. Something unexpected, leading to a very stressful thirty seconds.

After years of doing things one way – whether it’s Zoom or your research – it could be surprising or even panicking to be faced with something different.

In your viva, you might encounter questions you’ve not considered. You might hear an opinion that is counter to your own. You might need to think about options you’ve not thought through before. Any of these might cause a moment’s panic, but if that happened it’s OK.

Pause. Think. Respond.

Take your time. Get past the panic. Work past the worry. Respond as best you can.
